Attendance Information

Technical sessions of the Directed Energy Systems Symposium will be held at the Hyatt Regency Monterey Hotel, 1 Old Golf Course Road, Monterey, California, and at a nearby offsite location within walking distance. Although a shuttle bus will be available, most Symposium attendees choose to walk between venues. Private auto access to the offsite location is greatly restricted, and parking is extremely limited.

The room block negotiated by DEPS at the Hyatt Regency (the symposium hotel) has SOLD OUT. However, we are fortunate to offer overflow rooms at the Hilton Garden Inn, Monterey, located at 1000 Aguajito Road, Monterey, California, 93940. To make a reservation, use the hotel's online reservation system below, or call the hotel directly at 831-373-6141 and mention you are attending this DEPS meeting.

The Hyatt Regency and the Hilton Garden reserve the right to enforce their policies, procedures, and cancellation fees. Please note that the Hyatt strictly enforces a 72-hour cancellation policy. DEPS is not responsible for any hotel cancellation charges, penalties, or billing discrepancies.

Companions

Companions are always a welcome addition to any DEPS meeting. To encourage them, we offer companion meal options at an additional cost. Our full meal option includes all meals that are provided for regular attendees including any evening and specialty functions that may be planned. For those companions who do not want to be tied to scheduled meal functions, we also offer a reception only option which includes only the Tuesday evening reception.

Registration fees include participation in all Symposium sessions for which the attendee qualifies, breakfast snacks(1) and coffee breaks Tuesday through Friday mornings, lunch Tuesday through Thursday, the evening reception on Tuesday, and a copy of the proceedings. Short course registrations include all student course materials and Continuous Learning Point (CLP) credits for successful students. Additionally, morning courses include breakfast snacks, and a box lunch is provided to those attending afternoon courses. Short courses can be purchased separate from your Symposium registration by using this short course registration form.

(1) Government registration fee includes everything that the standard registration fees do with the exception of breakfast. Breakfasts are not included with the government registration; however, they will be available as an additional separate purchase at $17 each day. If need to purchase these separately, please register first, then contact the DEPS office to add Government breakfasts to your registration.

(2) Esteemed Leaders are fully retired DEPS members no longer working in the field but have a desire to keep up with the DEPS community. If this is you and you are willing to volunteer for two half-days of service during the Symposium, we would love to have you. In exchange for your help in putting on a successful program, we can offer a reduced rate for your attendance to the overall symposium.

(3) Full time students will be admitted at reduced charge provided they agree to assist DEPS staff for two half-days of service. If this condition is not met, students will be required to pay the full registration fee.

Persons requesting cancellation through 21 October will receive a full refund. Cancellations after 21 October are subject to a $100 cancellation fee. There will be no refunds for short courses after 11 November or for the event after 15 November.


Security

The 2024 DEPS DE Systems Symposium will be composed of both classified and unclassified, limited distribution (CUI) sessions. The highest level of classified information to be presented at the 2024 DE Systems Symposium will be SECRET/NOFORN.

Attendance Requirements

Participation in all Systems Symposium sessions will be restricted to U.S. citizens from government, industry and academia with appropriate security clearances and need-to-know. Briefs cleared for GBR participation and public release presentations may also include attendance by United Kingdom citizens from government who have the proper clearances, and need-to-know. Any attendee at an offsite session must have satisfied all facility access requirements.

Note: Registered companions and exhibit staff who do not attend program sessions do not have to meet these security requirements.

Note on UK Participation

In accordance with the Information Exchange Agreements between the United States and the United Kingdom governments [MIEM UK-AF-16-0001 (RF DEW IEA) and/or MIEM UK-US-19-0001 (Laser Weapon Systems IEA)], employees from the United Kingdom government and their affiliated contractors are welcome to participate in CUI and/or Classified sessions with presentations that have been given approval by the presenter's local Foreign Disclosure Officers (FDOs) and appropriate Technical Project Officer (TPO). Presenters at the Systems Symposium are encouraged to make their presentations releasable to UK participants. Detailed instructions are available under Submissions information on our Presenter's page.

Note that participation in any session at the offsite location, whether classified or CUI, requires a classified visit request according to the instructions below.

Visit Instructions for DoD Government/Contractor with access to DISS:

Eligibility and access for all DoD government and contractor attendees will be verified using DISS. Please send a visit notification to DISS SMO Code 1LNJ44 with the following information. (Note: If you experience problems with the SMO code, please try 1LNJ4 instead. If two options are given, select "Directed Energy Professional" and not "DEPS VISITOR CONTROL".)

Access to the offsite location will be by CAC (Common Access Card). Cleared attendees who wish to attend these sessions but who do not have a CAC allowing for base access must have their security office fill out the appropriate SECNAV 5512 form (below) and send to NPS no later than 3PM PST Friday, 25 October 2024.

Note that a government issued picture ID will be required at check-in and upon entry into the classified and CUI sessions. Laptops, cell phones, and other such electronics will not be allowed in the classified sessions; please do not bring them to the classified meeting site. Videotaping, photography or audio recording of any session at this meeting is strictly prohibited. Note taking will not be allowed in any of the classified sessions presented at the DEPS DE Systems Symposium.
